What Smart Treatment Proposals does

Smart Treatment Proposals replaces paper and emailed PDFs with interactive digital treatment plans that patients can review, acknowledge, and accept — either in the chair on a tablet or later on their own device.

After a consultation, clinicians or Treatment Co‑ordinators generate a proposal inside Primoro using treatment and pricing data referenced from the clinical system (e.g. Dentally).

Proposals can be:

  • presented in‑chair using the Tablet App for face‑to‑face explanation
  • sent app‑first to the patient mobile app for at‑home review
  • accessed via a secure web link if required

Every interaction is time‑stamped and recorded.

The two‑step acceptance model (critical)

Smart Treatment Proposals uses a two‑stage acceptance flow, designed to mirror real clinical and commercial practice while providing a defensible audit trail.

Step 1 — Acknowledgement of explanation (mandatory)

This step confirms that:

  • a treatment plan has been presented and explained to the patient
  • treatment details, costs, and next steps were clearly discussed
  • the patient acknowledges that this explanation has taken place

Key characteristics:

  • typically completed in‑chair on the Tablet App
  • patient confirms acknowledgement via signature or approval
  • captured once, on record
  • logged against the proposal as Explained & Acknowledged

This step does not commit the patient to treatment. It confirms informed discussion.

Step 2 — Acceptance to proceed & booking authority

This step confirms that:

  • the patient has reviewed the proposal (in‑app or in‑chair)
  • the patient wishes to proceed with treatment
  • the practice is authorised to schedule and deliver treatment

Key characteristics:

  • uses the existing captured signature (no second signature required)
  • triggered when staff ask: “Would you like to go ahead and book this?”
  • recorded as a binding acceptance, equivalent to receiving a purchase order or sales instruction from the patient
  • moves the opportunity to Accepted in Treatment Pipeline

This creates a clear commercial commitment without duplicate consent friction.

Yes. Templates can include full pricing breakdowns, staged payment options, and representative finance illustrations (e.g. monthly cost, term length, total payable). These are designed to be clear, compliant, and easy for patients to understand.

Can patients apply for finance directly from the proposal?

Yes. Patients can apply for finance directly from the proposal — whether it is presented in‑chair on a tablet, viewed in the patient mobile app, or opened via a secure link. If they are not ready, they can return to the same proposal later and apply without it being resent.

Does applying for finance mean the patient has accepted treatment?

No. Applying for finance, choosing a payment option, or receiving finance approval does not automatically constitute acceptance. Treatment acceptance is a separate, explicit step recorded through the second stage of the acceptance flow.

Why does the proposal use a two‑step acceptance process?
