What it does
Rota Manager provides a single operational schedule that:
- schedules all staff (clinical and non‑clinical) across roles, rooms, and locations
- supports flexible shifts (full days, half days, split shifts, multi‑location working)
- assigns providers and assistants to specific surgeries
- reflects approved leave and absences, enforcing minimum‑coverage rules

- drives appointment availability so patients cannot book when cover or surgeries are not staffed

Calendar‑first planning
Plan and adjust shifts using day and week calendar views with drag‑and‑drop creation and built‑in validation to prevent overlaps and conflicts.
View by role, surgery, or location
Switch between:
- role‑based views (e.g. reception, nursing)
- per‑surgery views for operatory coverage
- location views for multi‑site planning
This ensures required coverage is visible at a glance.
Surgery‑level assignment & shift protection
Providers and assistants are explicitly assigned to surgeries.
If a provider or surgery is not covered by a valid shift:
- appointment slots are blocked
- surgeries are shown as unavailable
- dependent workflows are prevented from running
Availability is enforced by rota reality — not assumptions.
Recurring templates & patterns
Create reusable weekly or bi‑weekly rota templates and apply them forward, handling exceptions without breaking the underlying pattern.
Leave & absence integration
Approved leave is reflected automatically in the rota and removes availability from booking systems. Minimum‑coverage rules prevent unsafe leave overlaps, with manager overrides logged for accountability.
Work packages & operational duties
Work packages allow non‑clinical work — such as cleaning, callbacks, audits, or administration — to be scheduled as protected time blocks.
This ensures all operational work is planned, visible, and owned.
Staff mobile visibility & calendar sync
Staff can view their own shifts, locations, and responsibilities in the Primoro Staff App, and subscribe to their rota via Outlook, Google, or Apple Calendar feeds.
Automated reminders and change alerts reduce missed shifts and miscommunication.
Rapid cover & locum requests
When gaps appear, managers can broadcast cover requests to internal staff or external locum pools. Accepted cover updates the rota immediately and propagates across the platform.
AI‑supported oversight (AI Guardian only)
Rota Manager does not use Primoro AI Assistant.
When AI Guardian is enabled (add‑on), it provides background operational oversight by:
- detecting rota conflicts and coverage gaps
- identifying repeated under‑ or over‑staffing patterns
- surfacing utilisation and capacity pressure points
- flagging rota risks that could impact appointments or delivery
AI Guardian does not create, modify, or allocate shifts automatically. All insights are surfaced to managers for review and decision‑making.
