AI Guardian

Page purpose (designer & content owners — read first)

This page positions AI Guardian as Primoro’s 24/7 operational analyst — continuously auditing day‑to‑day activity to catch missed actions, diary gaps, data issues, and SLA risk, then turning them into clear next steps your team can act on.

It is not:

  • a generic “AI monitoring” page
  • a people‑scoring or punitive surveillance tool
  • a replacement for managers or human judgement

It must communicate:

  • AI Guardian is an optional add‑on module (nothing in CORE depends on it)
  • It focuses on systems, workflows, and completeness (not blame)
  • Outputs are actionable: tasks, alerts, and summaries routed to the right roles through Task Manager and Communication Hub

Tone: practical, confident, operator‑led. Value first. Governance always explicit.

Hero

AI Guardian — your 24/7 operational analyst

Proactive diary and workflow auditing that catches what humans miss — missed follow‑ups, missing deposits, overdue recalls, and hidden white space — and helps your team fix it.

AI Guardian runs quietly in the background, generating clear next steps through Task Manager, Communication Hub, and dashboards (where available).

What AI Guardian does

AI Guardian continuously audits operational performance across Primoro to ensure workflows are consistent, complete, and on time. It proactively identifies:

  • Missed actions (e.g., missing deposits, missing aftercare follow‑ups)
  • Anomalies (e.g., completed appointment with an unpaid balance)
  • White space and cancellation leakage (late cancellations not rebooked)
  • “No next step” patients (open treatment plans or recalls with no future booking)
  • Trends and optimisation opportunities (e.g., repeat cancellation patterns)

Every output is delivered as a practical action — not a vague insight.

Who it’s for

AI Guardian is designed for:

Key capabilities

1) Morning Audit (Daily operational checks)

Each morning, AI Guardian audits the prior day and flags critical follow‑ups and data completeness issues, including:

  • missed payments
  • deposit collection required but missing
  • procedures requiring aftercare follow‑up not actioned
  • white space & cancellations not rebooked
  • recall interval compliance issues
  • appointment data quality (reason codes / notes completeness)
  • lab work status (overdue and due‑today)

Output rule: each finding creates a task and/or an alert via Communication Hub, routed to the correct role.

2) No Next Step Detection

AI Guardian identifies patients with no future appointment or task, such as:

  • open treatment plans with no follow‑up
  • recalls due or overdue with no booking
  • cancelled appointments with no rebooking

3) SLA Monitoring (Green / Amber / Red)

AI Guardian supports configured SLAs (e.g., response times, follow‑ups, confirmation windows):

  • timers run on relevant work items
  • status transitions Green → Amber → Red
  • escalation chains trigger via Communication Hub when breaches occur

Where dashboards are present, these appear as KPI cards and counters; where dashboards are absent, Guardian still delivers tasks + alerts + basic summaries.

4) Actionable Alerts → Tasks → Closed‑Loop Completion

AI Guardian doesn’t just flag issues — it drives completion:

  • alerts include context and quick actions
  • every actionable alert links to (or creates) a Task Manager item
  • once the task is resolved, Guardian clears the alert
  • overdue items can be escalated in line with SLA policy

This creates accountability without spreadsheet chasing.

5) Revenue & Leakage Prevention (Operational gaps)

AI Guardian catches operational leaks such as:

  • completed appointments with unpaid balances
  • deposit required but missing
  • high‑value cancellations with no structured follow‑up
  • recall and attendance leakage that creates hidden white space

AI Guardian detects meaningful changes over time and surfaces suggested next steps, including:

  • recurring cancellation patterns
  • rising hygiene white space
  • scheduling patterns and capacity signals
  • periodic “operations review” suggestions

AI‑driven suggestions can be toggled off — rule‑based monitoring still runs.

How it fits within Primoro

AI Guardian enhances the existing platform by feeding operational signals into:

  • Task Manager (creates structured, assigned work)
  • Communication Hub (alerts, escalations, summaries)
  • Smart Dashboards (CORE) and other dashboard views where enabled

It is designed to work with or without advanced analytics UI.

Group operator value (multi‑site)

For multi‑site operators, AI Guardian acts like an extension of the central ops/data function — scanning across locations to surface consistency drift, SLA risk, and missed operational steps without manual reporting.

Governance & trust (non‑negotiable)

AI Guardian is designed for governed healthcare environments:

  • role‑based access controls determine who can see sensitive alerts
  • automated actions are auditable (what happened, when, why, who was notified)
  • alert tone must be neutral (avoid blame language)
  • optional auto‑remediation (e.g., template holding replies) is explicitly enabled per rule and logged

Important: this module is about workflow completeness and operational safety — not punitive employee surveillance.

Part of the Intelligence Suite (sold individually)

AI Guardian is part of the Intelligence Suite, and is sold as an individual module.

It can be enabled on its own, alongside AI Receptionist and AI Quality Monitor, or not at all.

Nothing in CORE depends on it.

Visual guidance (for designers)

Design should make the value immediately concrete:

  • “Morning audit” panel (yesterday checks)
  • Example alert card: “3 cancellations not rebooked” → one‑click create tasks
  • Green/Amber/Red SLA indicator chips on a work item
  • Closed‑loop flow: Alert → Task created → Completed → Cleared
  • Optional: “Without vs With Guardian” split showing reduced chasing and fewer gaps

Avoid:

  • camera / surveillance imagery
  • “scoring” visuals
  • anything that implies punitive monitoring

Frequently asked questions

Is AI Guardian monitoring or scoring staff performance?

No. AI Guardian focuses on workflows, system completeness, and follow‑ups — not people. It highlights missed actions and gaps so teams can fix issues early, without blame or individual scoring.

Does AI Guardian replace practice managers?

No. AI Guardian supports managers by surfacing risks and missed steps they may not have visibility of day‑to‑day. Decisions and accountability always remain with people.

What types of issues does AI Guardian look for?

AI Guardian looks for missed operational actions such as unpaid balances, missing deposits, overdue recalls, unbooked follow‑ups, diary gaps, and other signs of leakage or inconsistency.

How are issues surfaced to the team?

All outputs are actionable. Issues are converted into tasks, alerts, or summaries and routed through Task Manager and Communication Hub to the appropriate role.

Can AI Guardian work without dashboards?

Yes. While dashboards enhance visibility, AI Guardian continues to create tasks, alerts, and operational summaries even where advanced analytics views are not enabled.

Is AI Guardian suitable for multi‑site practices or groups?

Yes. AI Guardian is particularly valuable for multi‑site operators, providing a consistent way to detect drift, missed steps, and SLA risks across locations.

How does AI Guardian handle governance and audits?

All actions and alerts generated by AI Guardian are auditable. Access is role‑based, alert language is neutral, and any automated remediation is explicitly configured and logged.

Can AI‑driven suggestions be turned off?

Yes. Practices can disable AI‑driven optimisation suggestions and continue using rule‑based monitoring only.
