Task & Work Management (CORE)

Hero Summary

Turn tasks, callbacks, and follow‑ups into visible, owned work — without inbox chasing or disconnected to‑do lists.

Primoro’s Task Manager is the operational backbone of the platform. It ensures that every action — from admin follow‑ups to patient callbacks — is created, tracked, and completed inside one shared system, aligned to real availability and clear responsibility.

What it does

Task Manager enables practices to:

  • Create and manage operational tasks across the practice
  • Track callbacks and follow‑ups alongside daily work
  • Assign work to roles or functions, not just individuals
  • Enforce due dates, time windows, and SLAs
  • Surface what’s due, overdue, or at risk — in one place
  • Maintain visibility across teams, shifts, and sites

All work is centrally visible and auditable — no private lists, inbox reliance, or knowledge gaps.

Why it matters

  • Nothing falls through the cracks — all work is visible and time‑bound
  • No inbox or WhatsApp dependency — tasks replace informal chasing
  • Clear ownership without bottlenecks — role‑first assignment supports cover
  • Continuity across staff changes — work doesn’t disappear when people leave
  • Operational confidence at scale — especially for group and multi‑site practices

Core capabilities

Calendar‑backed tasks (CORE)

Every task in Primoro is created as a time‑bound calendar event:

  • Mandatory due date or time window
  • Shared visibility in central, role, and personal views
  • Consistent behaviour across tasks, callbacks, and appointments

If work matters, it exists in the calendar.

Tasks & callbacks — one work system

Tasks and callbacks operate together:

  • Callbacks can generate follow‑up tasks
  • Tasks can require callbacks to complete
  • Both follow the same visibility and ownership rules
  • Both are tracked against time and SLA

Patient callbacks are included in CORE.

Lead callbacks (new enquiries) are unlocked via the Treatment Pipeline module.

Role‑first assignment & claiming

Work is routed to roles and operational functions first, such as:

  • Front‑of‑house teams
  • Treatment coordinators
  • Practice management
  • Operational functions (e.g. labs, referrals, finance)

Eligible staff can claim work from their role queue — reducing bottlenecks and improving cover.

SLA tracking & manual escalation (CORE)

CORE includes structural SLA support:

  • SLA timers driven by calendar timestamps
  • Visual status (on‑track, at‑risk, breached)
  • Manual escalation to alternative roles or managers

No automation is assumed. Control remains with your team.

Rota‑aware by design

Task visibility and due work align with real capacity:

  • Staff availability is supplied by Rota Manager
  • Work is surfaced against who is actually working
  • Prevents assigning critical actions to unavailable staff

Governance & control (in context)

Task Manager operates inside Primoro’s governed platform:

  • Role‑based access and permissions
  • Full audit trail of task creation, changes, and completion
  • Immediate access removal for leavers — without losing work history
  • Consistent behaviour across staff apps, tablets, and web portal

How it fits within Primoro

Task Manager works seamlessly with:

  • CORE Platform — central calendar and visibility rules
  • Communication Hub — tasks and callbacks from conversations
  • Appointment Manager — preparation and follow‑up actions
  • Rota Manager — real availability and coverage
  • Primoro AI Assistant — guidance, prioritisation, and insight
