AI Meetings
/modules/ai-meetings
Page purpose (designer & content owners — read first)
This page positions AI Meetings as Primoro’s meeting capture, summarisation, and action‑tracking module — designed to ensure decisions, actions, and accountability from internal meetings are never lost.
It is built for real operational, management, and people workflows — not surveillance, not passive recording, and not patient conversations.
It is not:
- a generic transcription tool
- a video‑conferencing replacement
- an always‑on recording system
- a productivity gimmick
It must communicate:
- AI Meetings is an optional module (not included in CORE)
- Capture is explicit, intentional, and transparent
- Humans always review, edit, and control outputs
- Outputs flow directly into Task Manager, Communication Hub, and governance workflows
Tone: practical, trustworthy, operational. Privacy‑first by design.

What AI Meetings does
AI Meetings provides structured AI assistance before, during, and after meetings to:
- capture meeting content (with consent)
- generate clear, professional summaries
- identify decisions and action items
- assign ownership and deadlines
- link outcomes directly to Primoro workflows
The result: meetings drive action — not admin.
Designed for real practice meetings
AI Meetings is optimised for the meetings practices actually run, including:
- daily huddles (front‑of‑house, nursing, clinical teams)
- management and leadership meetings
- performance reviews and 1:1s
- HR discussions
- clinical governance and MDT meetings
- operations and systems reviews
- incident and complaint reviews
- project and rollout meetings
Meeting templates can be configured per type, defining agenda structure, expected outputs, and sensitivity controls.
Core capabilities
1) Intentional meeting capture
Meetings are captured only when explicitly enabled:
- room capture via approved meeting‑room microphones
- platform capture via Microsoft Teams or supported meeting platforms
- organiser‑initiated manual recording
There is no passive or hidden recording.
Capture can be enabled automatically for pre‑defined meeting types, with clear participant awareness.
2) AI‑generated summaries (review‑first)
After the meeting, AI Meetings produces:
- a clear summary of the meeting purpose
- key discussion points
- areas of consensus or agreement
Summaries are:
- written in plain, professional language
- never auto‑approved
- editable and reviewable by authorised roles
- fully auditable (versions and edits tracked)
Humans remain in control of the final record.
3) Decision and action extraction
AI Meetings identifies:
- explicit decisions
- agreed actions and follow‑ups
For each action it:
- suggests an owner
- suggests a due date
- creates a Task Manager item when confirmed
Nothing is auto‑assigned without appropriate confidence and permission.
4) Speaker attribution (assistive, governed)
AI Meetings supports voice profile mapping to help identify speakers accurately:
- one‑time enrolment flow for staff speakers
- human‑confirmed matching
- confidence thresholds that control downstream automation
Speaker attribution is:
- assistive only
- role‑controlled
- auditable
- reversible on request
Sensitive meeting types can disable named attribution entirely.
5) Integrated workflows (closed‑loop)
AI Meetings feeds outputs directly into:
- Task Manager — actions with owners and deadlines
- Communication Hub — visibility and alignment
- AI Guardian — repeated missed commitments surfaced as operational risk signals
- Smart Dashboards — completion rates, follow‑through, and trends (where enabled)
Meetings become part of the operating system — not isolated documents.
Privacy, governance & trust by design
AI Meetings is built for governed healthcare environments:
- internal meetings only (patient conversations excluded)
- participant awareness required
- role‑based access to transcripts, summaries, and actions
- sensitive meeting templates restrict access and aggregation
- section‑level redaction supported
No raw audio is retained beyond configured windows. Derived artefacts are retained under RBAC with full audit trails.
Where AI Meetings adds the most value
AI Meetings is particularly valuable for:
- management teams juggling multiple priorities
- HR and people workflows
- multi‑site groups needing consistent follow‑through
- practices tired of missed actions after meetings
It reduces reliance on manual note‑taking, memory, and inbox follow‑ups.
Part of the Intelligence Suite (sold individually)
AI Meetings is part of the Intelligence Suite.
It can be enabled on its own, alongside AI Guardian, AI Receptionist, and AI Quality Monitor, or not at all.
Nothing in CORE depends on it.
Visual guidance (for designers)
Design should emphasise clarity and trust, not transcription gimmicks:
- meeting summary card (purpose, key points, decisions)
- action list flowing into Task Manager
- confidence‑led speaker attribution states (Confirmed / Suggested / Unnamed)
- closed‑loop flow: Meeting → Summary → Tasks → Completion
Avoid:
- always‑listening visuals
- waveform‑heavy or “spy” imagery
- anything implying judgement of people
Frequently asked questions
Is AI Meetings replacing team discussion or decision‑making?
No. AI Meetings supports teams by capturing and structuring what was discussed and agreed. Decisions and accountability always remain with people.
Do participants need to consent to recording?
Yes. Meeting capture is explicit and intentional. Participants are made aware when AI Meetings is enabled, and there is no passive or always‑on recording.
Are meeting notes automatically finalised?
No. AI‑generated summaries are never auto‑approved. Notes must be reviewed, edited, or confirmed by authorised users before being treated as final records.
Can AI Meetings be used for patient or clinical consultations?
No. AI Meetings is designed for internal meetings only, such as management, HR, governance, and operational sessions. Patient conversations are explicitly excluded.
How are actions followed up after meetings?
Decisions and actions identified in meetings are linked directly into Task Manager, ensuring ownership, deadlines, and follow‑through are clear and auditable.
How does speaker identification work?
Speaker attribution is assistive and governed. It requires human confirmation and can be disabled entirely for sensitive meeting types.
Is meeting data secure and auditable?
Yes. Access to transcripts and summaries is role‑based, changes are auditable, and sensitive meetings can restrict access or aggregation.
Does AI Meetings integrate with other Primoro modules?
Yes. AI Meetings feeds outcomes into Task Manager, Communication Hub, and AI Guardian, helping ensure actions agreed in meetings are completed.
